Case Study – Conversion from MYOB to Xero


Our client, a Graphic Designer located in Melbourne contacted us as she had fired her bookkeeper and was looking for assistance in doing her bookkeeping herself. Getting her reports in a timely manner along with needing the software to work on her pre-existing Mac based network, we worked with her to determine the best solution moving forward.


After determining that our client would need to purchase a Windows laptop and MYOB software we began by asking a series of questions.

  • How familiar was she with Windows?
  • What was the budget for set up?
  • How often would she be using the software?
  • What was her main issue with the previous bookkeeper and software being used?
  • How are the invoices generated and in what software? Can they be exported?

Once we had this information we spoke at length with our client and determined that Xero would be the better solution. Using her existing project management software our client is able to export the invoices and credit notes then import them into Xero. Other than the monthly cost for Xero, and our fee’s to convert the existing data from MYOB to Xero, there were no other set up costs.

We converted the file, provide ongoing support and created monthly checklists of all the tasks she needed to complete before generating her management reports.

Our client is now able to reconcile her bank accounts and generate her management reports on a monthly basis herself and has since moved premises now that she has reliable data to base her business and financial decisions upon.

Case Study No 2 – Better Receipt Management


Our client had already put into place processes and procedures to scan her receipts and documents into dropbox. She is after all a Virtual Assistant! The problem was that it was very time consuming to enter all her receipts and bills and attach a copy to each transaction within Xero. As our Number Cruncher was engaged to assist with bank reconciliations, the bank rec’s were being delayed because we had to wait for the client to create the bill within Xero.


We introduced our client to Receipt Bank and she hasn’t looked back since. As she was already using Dropbox to save her scanned documents, all she had to do was change the destination folder she was saving the documents to. Receipt Bank then extracted the data from the documents and published the transaction straight to Xero ALONG with a copy of the original document as an attachment. What used to take our client hours, now, only takes minutes.

Ok I don’t get excited very often but OMG I am totally and utterly in love with Receipt Bank!  Where was this two years ago!!!
